Forwarding an Email Ad Infinitum Until it Breaks

When trying to view one of the regular emails sent out daily within the firm, users who enabled the preview pane were encountering the following information bar in Outlook: “This item cannot be displayed in the Reading Pane. Open the item to read its contents.

Then upon trying to open the message, the following error was encountered: “Can’t open this item. Out of memory or system resources. Close some windows or programs and try again.”

Sizing It Up – How Encoding Impacts Successful Message Delivery

Because of the way e-mail messages are encoded, several more MBs can be added to the size of a message, causing it to exceed the message send restrictions defined on the Exchange server1. As a result, there can be some confusion, since Outlook will show that the message is well below the size restrictions. For example,  we cap our message size restrictions at 24MBs. However, we might have a recipient that never receives a 20MB message or is not able to send a message of the same size.

Outlook OST Size vs. Exchange Mailbox Size

You may (or may not) have noticed that the local cached mailbox for Outlook, also known as the OST file, is larger than the Exchange mailbox size. There is no shortage of misinformation about this topic, some of it incorrectly attributing this to corruption1. For example, the mailbox seen here in Exchange is only 132 MBs:
